Job Title: Administrative Assistant (Remote)
Location: Remote
Job Type: Full-Time or Part-Time
Reports To: Operations Manager / Executive Team
Position Overview
We are seeking a detail-oriented, organized, and proactive Remote Administrative Assistant to support our team with daily administrative and operational tasks. The ideal candidate is a self-starter with excellent communication skills, strong time-management abilities, and the ability to work independently in a remote environment.
Key Responsibilities
Administrative Support
Manage calendars, schedule appointments, and coordinate virtual meetings.
Organize digital files, documents, and company records.
Prepare reports, spreadsheets, presentations, and correspondence as needed.
Handle incoming emails, phone calls, and messages; manage communications on behalf of leadership when required.
Operations & Coordination
Assist with onboarding new hires and coordinating internal communication.
Maintain and update company databases, CRM systems, and shared folders.
Track and manage deadlines, tasks, and project updates.
Coordinate travel arrangements (if applicable).
Customer & Team Support
Respond to inquiries and provide assistance to customers, clients, or internal teams.
Maintain professional and timely communication across departments.
Help with event or meeting preparation, including agendas, notes, and follow-up tasks.
Clerical & General Duties
Assist with data entry, documentation, and recordkeeping.
Process invoices, receipts, and basic expense reports (if assigned).
Support team members with miscellaneous administrative projects.
Qualifications
Experience
1–3 years of administrative, office support, or virtual assistant experience preferred.
Experience working in a remote setting is a plus.
Skills
Excellent written and verbal communication.
Strong attention to detail and multitasking skills.
High proficiency in digital tools such as:
Microsoft Office / Google Workspace
Zoom, Slack, Microsoft Teams
Basic CRM or project-management tools (Asana, Trello, etc.)
Attributes
Self-motivated, reliable, and able to work independently.
Strong organizational and time-management abilities.
Professional, friendly, and customer-service oriented.
Ability to handle confidential information with discretion.
Education
High school diploma required; associate or bachelor’s degree preferred but not required.
