About the Company: Our client is a top B2B PR and marketing firm specializing in lead generation for supply chain, logistics, and technology sectors. They are seeking an Executive Assistant & Office Manager to support their CEO and COO.
Role Overview: We are looking for an experienced Executive Assistant & Office Manager who is highly organized and capable of handling both professional and personal tasks for the CEO and COO. This role involves strategic thinking, attention to detail, and hands-on execution.
Key Responsibilities:
Executive Support:
- Manage complex calendars: schedule meetings, coordinate with stakeholders, and prioritize appointments.
- Arrange domestic and international travel: book flights, accommodations, create itineraries, and handle changes.
- Coordinate executive meetings: book venues, arrange equipment, confirm attendance, and handle logistics.
- Prepare meeting materials, take minutes, and follow up on action items.
Office Management:
- Oversee daily office operations: manage supplies, snacks, office tech, and workspace upkeep.
- Onboard new employees: provide equipment, keycard access, and company protocol orientation.
- Serve as the main contact for office-related issues, ensuring smooth operations.
Event Planning & Coordination:
- Plan and execute company events: select venues, arrange catering, coordinate travel, and provide on-site support.
- Work with vendors to ensure events are seamless and within budget.
Personal Assistance:
- Coordinate with the house manager to assist with personal tasks for the CEO and COO.
- Provide additional personal support: book personal travel, manage personal calendars, and handle ad-hoc tasks.
Requirements:
Location:
- Must be based in or near Atlanta, GA, and work from the office on Wednesdays.
Experience:
- Minimum of 5 years as an executive assistant, preferably supporting C-level executives.
- Proven track record managing complex calendars and travel arrangements.
- Experience coordinating high-level meetings and events.
Skills:
- Exceptional organizational and multitasking skills, with the ability to manage multiple projects.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite, Google Workspace, and project management tools.
- Proactive, adaptable, and able to handle confidential information discreetly.
- Highly responsive to needs and capable of managing shifting priorities.
Salary:
- $80,000 – $100,000, depending on experience
